Run your career fair on Superset.

Give every employer a booth with its own QR code. Students and alumni scan, see the roles and apply from their phones. Career services see every visit, every application and every booth, live.

Interactive demo showing three career fair surfaces: the career services booth list with each company's booth, invite status, scans, visitors and applications; an employer's rotating booth QR code with a 20-second countdown; and a student's phone after a booth scan, showing the visit verified at the booth and the company's roles with one-tap apply.

01 · For career services

Set up the whole fair from one place

Career services run the fair from the event they already manage on Superset: booths, employer invites, the floor plan and the record of every visit.

  • Start from an event you already run on Superset, with its days, venue and door attendance. Switch on career fair mode and link the placement cycle that holds the fair’s roles. You can keep that cycle hidden from students: they join it when they visit a booth, with no self-enrolment and no publish notifications.

  • Add one booth per company from the cycle, or paste your exhibitor sheet to import up to 1,000 booths at once. Print the QR pack: one print-ready card per booth, with a code that never changes, so it can be printed weeks before the fair. Each booth shows its scans, unique visitors and applications as the day goes on.

  • Invite each exhibitor by email from their booth. The invite greets the company and lists that booth’s own fair days. The employer opens the link, asks for a sign-in code and lands straight in their fair view. Resend an invite that was not opened, or revoke one when a contact changes.

  • Every booth scan is recorded with the visitor, the booth, the fair day, whether they checked in at the door and how the visit was verified. Filter by day, booth or visitor type, and export the full log as CSV for your reports.

  • Upload the floor plan once and it appears on the students’ Map tab and on every employer’s fair page. Add your logo, brand and accent colours with a live preview, and the student and employer apps carry your university’s identity. Choose per fair whether employers see the floor plan and booth numbers before the day.

The career fair configuration of an event: career fair mode switched on, the linked placement cycle hidden from students, two fair days with their day codes, door check-in set to phone camera, and switches for showing the floor plan and booth numbers to employers.

The booth list: booth numbers, companies, employer invite status, scans, visitors and applications, with totals for the day, and one printed booth QR card from the QR pack.

Employer invites by booth with their status (joined, invited or revoked), and the invite email greeting the company with its booth number and fair days.

The booth visits log: each visitor with their programme, the booth, the time, whether they checked in at the door and how the visit was verified, with filters and a CSV export.

The fair floor plan with booth numbers and the entrance, one booth highlighted, and the university branding editor with logo, brand colour and accent colour.

02 · On the fair day

From the door to an application in four steps

Students need only their phone. Employers need only the invite link. Every step is recorded against the fair, so career services see attendance, booth visits and applications in one place.

1

Check in at the door

A kiosk at the entrance shows the live attendance QR. Students scan it with their phone camera and are marked as attending, even if they have to sign in first.

2

Scan a booth

A scan of the employer’s rotating code records the visit as verified at the booth. A scan of the printed card can be verified with the day code.

3

Apply in one tap

The scan opens the company’s roles. The student applies with their profile resume, and the application appears in the employer’s live view.

4

Follow up after the fair

Career services export the booth visits. Employers keep access to their applicants and download every visitor’s resume.

03 · For employers and students

An easy fair for everyone who walks in

Employers get a live view of their booth without creating an account. Students and alumni get the fair in an app on their phone, with your university’s branding.

  • Each employer has a live view of their own booth: who visited, who applied and to which role. Visitor profiles show the student ID, programme, year, batch, whether they are a student or alumnus, contact details and resume, so there is no paper form at the booth. After the fair, download every visitor’s resume in one file.

  • The employer opens the rotating booth QR full screen on a laptop or tablet. It shows a new code every 20 seconds, and each code expires within minutes, so a photo shared in a group chat does not count as a visit. A scan of it marks the visit “Verified at booth”. Booths with only the printed card can read out the day code instead.

  • Students sign in with your university single sign-on and open the fair from a banner on their home screen. The fair app has five tabs: Today, Map, Scan, Booths and Me. The in-app camera scans booth codes, and the phone’s own camera works too. Alumni join the same app after a short registration with a personal email.

  • A booth scan opens the company’s roles at the fair. The student applies in one tap, with the default resume from their Superset profile. If they have no resume yet, the page takes them to their profile to add one. The application appears in the employer’s live view straight away.

An employer's booth visitors arriving live, each with programme, student or alumni status and the role they applied to, a button to download all resumes, and one visitor's profile with student ID, batch, the role applied for and resume.

The employer's rotating booth QR code, full screen, with a countdown to the next code and the booth's visitor and application counts.

The student fair app's Today tab: checked in at the main entrance, three booths visited and two applications, and each visit with how it was verified.

A student's phone after scanning a booth: the company and booth number, the visit verified at the booth, the roles at the booth with one already applied to, and the profile resume used for one-tap apply.

04 · What’s next

More from every fair

We are building the fair tool beyond the day itself: helping students plan their visits, shortening queues at busy booths and showing what each fair led to.

Before the fair

Help students arrive with a plan and employers arrive prepared.

  • Booth recommendations

Suggest the booths that suit each student, based on their programme, year, skills and the roles at the fair.

  • Booth shortlists

Let students save the booths they plan to visit, and show employers how many students intend to come before the day.

  • Employer briefing packs

Send each exhibitor a pack with their booth location, fair timings, the programmes attending and the profile of the expected footfall.

On the fair day

Shorten the queues and capture more of each conversation.

  • Booth queues and interview slots

Students join a booth’s queue from their phone and get a notification when it is their turn. Employers can offer short interview slots at the booth or later in the day.

  • Visitor notes and ratings

Employers rate a visitor and add a note at the booth, so the follow-up after the fair starts from a shortlist rather than a pile of resumes.

  • Live footfall for career services

See the busiest and quietest booths as the day goes on, and direct students to employers who still have time to talk.

  • Hybrid booths

Give employers who cannot travel a virtual booth in the same fair, with the same visits log and applications as the physical booths.

After the fair

Turn a busy day into outcomes you can report on.

  • Surveys for attendees

Send feedback surveys to the students and alumni who checked in, and to each employer, by attendance rather than by batch.

  • Employer fair reports

Give each employer a summary of their booth: visitors by programme and year, applications by role and the visitors they rated highest.

  • From visit to offer

Follow fair applications through interviews and offers in the placement cycle, so you can show what the fair achieved.

  • Fair-on-fair comparison

Compare attendance, employer participation and applications across fairs and years to plan the next one.

FAQ

Frequently asked questions

Do employers need a Superset account?

No. Each exhibitor is invited by email. They open the invite link, request a sign-in code and go straight to their fair view. Employers who are new to Superset see only the fair they were invited to. Recruiters who already use Superset keep their full account.

Can alumni attend the fair?

Yes. Alumni complete a short registration with a personal email and use the same fair app as students. Employers see them as alumni, with their class year.

What if a booth has no screen for the rotating QR code?

Every booth also gets a printed QR card from the QR pack. Students can scan the printed card, and the employer can read out the day code to verify the visit. Each fair day has its own code.

Do students have to check in at the door first?

Door check-in uses the event’s live attendance QR, which students scan with their phone camera. A booth scan without a door check-in is still recorded, and the visits log shows which visitors did not check in.

Do our placement eligibility rules apply at the booth?

The fair’s roles sit in their own placement cycle, linked to the fair. Students can apply to any role at a booth they visit, and your rules for other placement cycles are not affected.

What can an employer see?

Only their own booth: its visitors, applications and resumes, and the floor plan and booth numbers if you choose to show them. If you revoke an invite, the employer loses access to the fair straight away.

What happens after the fair?

Career services export the booth visits as CSV. Employers keep access to their applicants and can download resumes after the fair, until the invite expires.
